AI can genuinely save time at work. Drafting emails, summarising meeting notes, polishing proposals, turning rough ideas into a clean plan. The problem is how people start using it. Copy, paste, send, and move on.
That is where the risk lives.
Because if staff drop customer lists, contracts, HR matters, invoices, or internal strategy into the wrong AI tool, you cannot always control where that information goes or who can see it later. Therefore “safe AI” needs a few simple rules from day one.
1) Use Approved Tools Only (No Personal Accounts For Work)
The fastest way to leak data is “just using whatever is on your phone.” If your team is using AI for work, keep it inside approved, managed tools and accounts, with logging and admin control.
2) Treat Prompts Like Emails: Never Paste Sensitive Details
A good habit: if you would not email it to a stranger, do not paste it into an AI chat.
Instead, redact and generalise:
- Swap “Client: ABC Ltd, account number…” with “a client account”
- Remove names, TRNs, addresses, bank details
- Summarise figures instead of pasting full spreadsheets
3) Turn On “Enterprise Data Protection” Features Where Available
Some business AI tools are designed so prompts and responses are not used to train the underlying model, and they sit inside your organisation’s security and compliance controls. If you are paying for a business-grade AI option, make sure those protections are enabled and understood.
4) Lock down access before you roll out AI widely
AI will only be as safe as your permissions. If “everybody can see everything” in your file shares or collaboration tools, AI can surface sensitive content faster than people realise. Tighten access, clean up overshared folders, and apply least privilege before the pilot grows.
5) Put A Simple AI Policy In Writing, Then Train It In Real Language
One page is enough to start:
- What tools are approved
- What data is never allowed (customer data, finance details, HR info)
- When to use AI, and when not to
- Who to call if something was shared by mistake
Frameworks like NIST’s AI Risk Management work encourage exactly this kind of practical governance so organisations can use AI while managing risk.
If your team is already using AI, the goal is not to shut it down. The goal is to use it without accidentally putting the business on the front page for the wrong reason.
